Account deletion

Deleting your Stockwaka account

You can close your Stockwaka merchant account yourself, from the app, at Shop → Account → Delete my account — or by emailing privacy@bitasei.com. This page explains what happens when you do: what stops immediately, what is erased after 30 days, what we are legally required to keep, and how to change your mind while you still can.

1. Delete your account from the app

You can close your Stockwaka account yourself, from the Stockwaka merchant app, without contacting us and without waiting for anybody to act on it. It takes effect immediately.

  • Open the app and go to the Shop tab.
  • Scroll to the bottom and tap Account.
  • Tap Delete my account, and confirm.

What happens the moment you confirm

Your shop stops trading everywhere — the app, WhatsApp, your counter terminals and your customer link — and you are signed out on every device. Nothing is billed to you again.

You then have 30 days to change your mind. After that everything below is erased and cannot be recovered by us or by anyone else.

2. Delete your account by email

If you cannot reach the app — you have changed phones, lost the device, or only ever used Stockwaka on WhatsApp — write to privacy@bitasei.com and ask us to delete your account.

Tell us the WhatsApp number the shop runs on. That number is your identity in Stockwaka, so we will confirm the request on it before acting: this is what stops somebody else closing your business by sending an email. We action verified requests within 30 days, and the same 30-day window applies from the day we close the account.

You do not need an account, a subscription or a payment history to ask. Deletion is free, and asking for it never affects anything else.

3. What stops immediately

Closing the account is not a request that queues. Every one of these takes effect as soon as you confirm:

  • You are signed out of the app on every device — your own phone, and any other you have used.
  • Your shop link and QR code stop working, so customers can no longer place online orders.
  • Your shop is removed from the local directory, so nobody new is sent to it.
  • Every counter terminal is unpaired and stops selling, and staff PINs stop working.
  • Stockwaka stops answering your WhatsApp number — no voice notes, no commands, no reports.
  • Your subscription is cancelled and you are not billed again.

If your shop has orders that customers have already paid for, settle them before you delete. Once the account is closed you can no longer confirm or fulfil an order in Stockwaka, and your customers can no longer reach your shop through it.

4. What is deleted

After 30 days, we permanently erase the information that identifies you and your shop:

  • Your WhatsApp number, your name and your business name.
  • Any email address, Google or Apple sign-in linked to the account.
  • Your payout bank details and the settlement account we set up for you.
  • Your shop link, your QR code and the map pin showing where your shop is.
  • The welcome message and the question you wrote for your customers.
  • The PINs of everyone who signed in at your counter.

Your WhatsApp number is released at the same time. If you ever want to use Stockwaka again, you can message the number and start fresh — you will be treated as a new merchant, with an empty shop.

Backups

Backups are overwritten on their own cycle, so a deleted record may persist in a backup for a short period after it has gone from the live system. Backups are not used to serve anything to anyone; they exist only to restore the service after a failure.

5. What we have to keep, and why

We cannot delete everything, and it would be dishonest to say we can. The table below is the complete list of what survives a deletion, with the reason for each. None of it is kept for our own commercial use.

What is keptWhy
Your sales ledger, credit book and orders, with your name and number removed from them. These are accounting records. Nigerian company and tax law requires them to be kept for 6 years from the end of the financial year they belong to, and the NDPA right to erasure does not override a legal obligation to retain.
Payment and refund references held by Paystack. They belong to the payment provider’s own records, are needed to settle a dispute or a chargeback, and are held under their own retention rules rather than ours.
Your customers’ own profiles and their order history with your shop.A shopper’s record belongs to the shopper, not to the shop they bought from. It expires 24 months after they were last active, and they can ask us to delete it themselves at any time.
Records of a shop being reported or delisted, if there are any.An enforcement record has to outlive the account it concerns, or deletion would become a way to erase it.

Records are kept, your identity is not

The accounting records we retain are stripped of your name, your phone number, your email and your bank details before they are kept. What remains is a record of transactions that is no longer attached to an identifiable person, which is what the six-year obligation actually requires.

Under section 34 of the NDPA, the right to erasure does not apply where we are required by law to retain the data. Nigerian company and tax law (CAMA 2020 and the FIRS rules) requires accounting records to be kept for six years from the end of the financial year they relate to.

6. Changing your mind

For 30 days after the account is closed, we can restore it exactly as it was. Email privacy@bitasei.com and tell us the WhatsApp number the shop was on.

The window exists because this app is used on phones that spend the day on a shop counter, handled by staff, and because deleting an account here ends a business rather than a login. It is a deliberate safety net against a deletion nobody meant, not a delay in honouring the request: the account is closed and unusable for the whole of it, and nothing is billed.

After the 30 days, restoration is impossible. Not withheld — the information needed to do it no longer exists.

7. If you shop from a Stockwaka shop

This page is about a MERCHANT account — a shop owner's. If you have only ever used Stockwaka to buy from a shop, you do not have one, and there is nothing here for you to delete.

What we hold about you as a shopper is your phone number, your name if you gave one, your order history and any location you shared. It is deleted automatically 24 months after you were last active. You can also ask us to delete it sooner, at any time, by writing to privacy@bitasei.com from the number concerned or telling us what it is.

Orders you placed remain in the shop's own accounting records, as any receipt would, but your profile and your words — including any rating or comment you left — are deleted with your profile.

8. If you are not satisfied

BitaSei Technologies Limited (RC 9278400) is the data controller. If you believe a deletion request has not been handled properly, write to privacy@bitasei.com and we will look into it.

You also have the right to complain to the Nigeria Data Protection Commission (NDPC) at any time, whether or not you have raised it with us first.
